General

This is part of your agreement when signing up to a Happy Human Project (HHP) course, class or camp. Signing up is open to all subject to the following conditions:

  • HHP accepts no liability for any injury to your child or other persons or property caused by your child(ren)'s participation in HHP classes if that injury is caused either by yours or your child(ren)'s fault; or by a third party unconnected with the HHP's provision of services; or by events with HHP and its owners, officers and personnel including its coaches and its suppliers could not have foreseen or prevented even if they had taken reasonable care.

  • When registering for a class, parents accept that children will be engaging in a moderate amount of activity that may involve some risk of injury. You acknowledge that you have been advised to consult with your child's physician with respect to any past or present injury, illness, health problem or any other condition that may affect your child(ren)'s participation in HHP classes.

  • HHP staff must be notified of any changes to the information provided on the Booking Form and health declaration.

  • You confirm that you have fully disclosed in the Booking form any and all conditions (whether such conditions are physical, mental, behavioural or otherwise) that your child(ren) has or may have before they participate in the class.

Staff/teachers:

All staff, including cover teachers (who may be brought in at short notice), are qualified, experienced and DBS checked. 

Supervision while on site: 

Students must ensure they always get full permission from staff prior to leaving class to go home or to use a toilet. Students are encouraged to use the toilet prior to class to prevent interruptions.

Behaviour: 

Racist, sexist and other offensive language and behaviour is not tolerated, and we reserve the right to terminate membership without notice, the final decision being undertaken by the Director. Behaviour of staff, parents and students must always follow our code-of-conduct.

Illness/Injury:

Parents are not to allow their child to attend HHP classes if they are feeling unwell or have a known injury which would prevent a student from fully taking part. Refunds will only be given in the event of illness or injury preventing attendance at classes for a sustained period as the Director’s discretion.

This includes presenting any contagious illness including (but not limited to):
Chicken Pox
Head Lice
Common Cold/Flu
and, as of March 2020, symptoms of COVID-19.

COVID-19: Parents are expected to follow government advice in relation to when to self-isolate.

You must complete a health declaration form before attending HHP, which can be found in the booking form upon registration.

Food/Drink: 

Students are expected to carry with them their own individual water bottle.

Chewing gum/ fizzy drinks are strictly forbidden in class.

Attendance:

Children must arrive and be collected promptly. It is very important that children arrive in time for their classes, preferably 5 minutes before the start. Children arriving after 15 minutes may be refused admission, as this may disrupt the classes.

Where possible HHP will aim to let people know of any changes in venue or class time at least one week ahead of schedule.

Absence: 

Classes are non-refundable if a class is missed due to sickness or any other reason. Class numbers are limited, and many have long waiting lists, so good attendance and commitment to the course is essential. Missing too many classes will have a negative impact on your child’s learning as essential content will be missed.

Child Collection:

Children must leave sessions promptly either with an older sibling, or an adult (details of persons collecting children must be put in registration form, or shared with class teacher prior to class). Any late pick ups by 5 minutes or more will incur a late pick-up charge of £10 for every 5 minutes late.

If a child is not being collected by their known primary care givers, the teacher must be informed in advance.

If a child is not collected on time every attempt will be made to contact all telephone numbers available to HHP.

If adults responsible for the child are not reachable and there is no adult available, the teacher present will contact Hertfordshire Social Services Duty Childcare Co-ordinator 0300 123 4043 or Police on 101.

Bookings and refunds

HHP does not provide drop-in classes for children and young people. All courses must be booked in advance. On occasion, it may be possible to trial a class but this is down to the discretion of the Director. New students may join courses during the term subject to availability and authorisation of the Director. If there are no spaces on a requested course when booking, then HHP will aim to provide an alternative option where possible, or add that child to the waiting list.

Waiting List:

Members on the waiting list will be contacted in order of the list. If members are unavailable, a message will be left. If there is no response, the next member will be contacted and the first to make contact will receive the place.

Payments:

Full payment must be received in advance to confirm a place. 

Non-payment:

Failure to make payment before term starts may result in no place being available. If this happens, HHP will make every attempt to offer an alternative course or arrangement. If this is not possible then your name will be added to a waiting list.

If payment is outstanding, HHP reserves the right to withhold services. Every attempt will be made not to discuss monies owed with children, although in extreme circumstances (especially when children arrive without supervision) children may be turned away. 

Cancellation/Refunds:

Holiday courses are non-refundable from the point of booking. Full Payment will be owed from the point of booking.

Term-time courses are non-refundable from the point of booking for all students. Courses are non-refundable post a two-week trial period for new students. During those two weeks, it may become apparent to the teacher that classes are not suitable for the child at this time and if so, every effort will be made to arrange alternate class options for that child and that child will be removed from class with remaining balance refunded.

HHP reserves the right to cancel a course if there are fewer than five participants and the above efforts will be made to place a student in an alternative course or offer a pro-rata refund where appropriate.

If a single class does not take place due to circumstances beyond our control, HHP will view this class as postponed and will reschedule.

HHP cannot offer a refund if you do not attend courses or classes.

New Students: The first two classes are considered ‘trial’ classes. If for any reason the course is not suitable, we must be notified before the third class and a refund for classes not attended will be given. Please note, no refund or reduction will be made after the second class has taken place, whether further classes have been attended or not.

If a payment is made by BACs or PayPal, HHP reserve the right to make a £10 charge (taken from the original payment and consequently refund amount) to cover PayPal charges and administration costs.

Registering for a class or workshop means you agree to our Student Behaviour Policy. We will work closely with parents to address any concerns and support positive behaviour. However, if these efforts do not result in improvement, and the behaviour continues to disrupt the class, we may have to make the difficult decision to remove your child from the programme, ensuring the best experience for all participants."

Registering for any of our sessions means you agree to and have provided us with details regarding any additional needs, as per our SEND policy.

Medication administration

Medication administration

The Happy Human Project is committed to ensuring the health and safety of all children in our care. We have a specific Medication Policy in place to manage the administration and supervision of medication during our camps and classes.

  • Self-Administration: Our staff will only supervise children who are capable of self-administering their own medication. We do not administer medication directly, except in emergency situations (e.g., EpiPen or asthma inhaler) where our trained staff may intervene with prior explicit consent from parents.

  • Parents/guardians are responsible for providing clear written instructions and ensuring their child is capable of taking medication independently.

  • All medications must be handed directly to the camp leader at drop-off in their original packaging and clearly labeled.
